Downloading Example Project Import Package

Downloading Project Import Template
- Open Ex Online in your browser and navigate to the dashboard
Contents of the dashboard

A: Account Select – Shows the name of the account and the number of tags used out of the number of tags allocated to the users license
B: Projects Tab – Shows a list of projects within the currently selected project(A)
Managers Tab – Show a list of managers within the currently selected project(A)
C: Open Project – Opens the currently selected project from within the list
New Project – Prompts user for a name to create a new project
Delete Project – Deletes the currently selected project, as a safeguard against accidental deletion the user must confirm the name of the project to be deleted by typing into a textbox before they will be allowed to delete a project
D: Project Options – This button will open the project options window for the corresponding project
E: Help Button – This button will allow the user to access the Tutorials, FAQs and Downloads sections
F: User Menu – This menu will allow the user to go to the dashboard, the last used tag browser, their profile, preferences or to log out

Select the projects drop down and select desired project

Creating a New Project
- To create a new project click on the New Project button

Enter a name for your project, then click ‘Create Project’

You should now see your newly created project listed under the Projects tab on the dashboard

From here you can see an overview of your project, important information such as Job Number, Description, Client, Defects, Actions, Users and Items is displayed for all projects

You will notice that your project already has some users, this is because all registered users in the Managers tab are automatically added to new projects. To learn how to add/remove and edit project managers in the Managers tab refer to \<Managers Tutorial>

To edit the details or users of a project, click the yellow circle symbol with three dots inside of it

This will open a window like pictured above. This is the Info tab and it is where project details such as Job Number, Description, and User Defined Fields can be entered

User Defined Fields are additional fields for each line item that you can rename for whatever purpose you require, some example applications are given below

- All fields are optional, after the desired information has been entered click Save Changes

If you close the Project window you will see these changes reflected in the Projects tab of the dashboard

Open the Project window once again by clicking on the yellow symbol with three dots, you will notice the window will open to whatever tab you had open before you closed it.

Switch to the Users tab by clicking Users at the top of the Project window

Here you can see a list of users associated with your project. Their name is listed along with their role, their active/deactive status, the date they joined the project, the last user to update their properties, the date their properties were last updated and the last time they accessed the project.

Additional users can be added to the project by clicking the Add/Invite Button


- Enter the email address of the invitee in the textbox, select whether they have view only or edit access, optionally include a message in the invite message box. Select the Add/Invite Button to send an invite to all email addresses listed in the text box

- The system output box will display the status of your invite

The new user should now be listed in the users list

To edit a user, click on the row corresponding to their name and it will become highlighted

Now click on the Edit button

- The Set Role to ‘Editor’ option will allow the user to edit the project. The Set Role to ‘Read-Only’ option will only allow the user to view the project, and they will be unable to edit. Activate/Deactivate User can be used to temporarily limit/allow access to a project. While Remove User will remove the user from the project entirely.

To open a project from the dashboard, click anywhere on the row containing the name of the desired project. It will highlight to show that it is selected

With the project selected, click on the Open Project button

- A ribbon will appear saying Opening Project… and your browser will soon redirect you to the tag browser for the project


- ADD CONTENTS OF TAG BROWSER
A: Navigation Menu – This menu allows the user to navigate quickly between projects or return to the accounts page
B: Project Options – This opens the project window for the currently active project
C: Project Tabs – This should be its own section
D: Filters – This is where currently active filters are displayed, Filters can be toggled between temporarily disabled/enabled by clicking on them or removed by clicking on the cross.
E: Selected Items – Selected Items is a count of how many items are selected in the current project. Items will stay selected until the user either deselects them or leaves the project, either returning to the dashboard or switching to another project. Saving changes, refreshing, discarding changes and updating details when bulk editing will not deselect any of the selected items. Care should be taken when bulk editing; especially when bulk editing with filters, as items will remain selected within a project regardless of whether they are on the current page or within the scope of the applied filters. To clear selected items that are outside the scope of the current filters the Clear Selection button in the Select menu should be utilized, this deselects all items in the project.
To select all items in the project the Select All button in the Select menu should be utilized, this selects all items in the project regardless of whether they are on the page or within the scope of the current filters.
Individual items can be toggled between selected/deselected by clicking on the checkbox to the left of the tag number on their row. All items on the current page and within the scope of the current filters can be toggled between selected/deselected by clicking the checkbox to the left of the ‘Tag No’ column heading. This will set all items to the same state as this checkbox, it will not invert current selections e.g. If the checkbox is selected, all items will become selected regardless of their previous state. If the checkbox is subsequently deselected, all items will become deselected regardless of their previous state.
Show Selection – This button will add a filter to the project so that only selected items will be shown. NOTE: Other filters remain active and this will not override them, results shown are the logical AND of all active filters
Filter Menu – This menu gives the user the option to undo the latest active filter that was applied, this will be the rightmost filter in the Filter Bar at the top of the tag browser. This functionality is the same as clicking the cross on the rightmost filter in the Filter Bar. The user can also remove all applied filters; regardless of whether they are active/inactive
Duplicate – This will duplicate all selected items within the current project. Duplicated items will be identical to the original in all fields aside from the backend system_id, the History tab in the Equipment window, the date of the last modification and potentially the user responsible for the last modification.
Duplicate to another project – This will duplicate selected items to selected projects. Duplicated items will be identical to the original in all fields aside from the backend system_id, the History tab in the Equipment window, the date of the last modification and potentially the user responsible for the last modification.
Export to Excel – The export to excel button will export the currently visible items as an excel document. Selected/Deselected
F: User Interface View Settings – This menu allows the user to save current views as the Project or User Default views, or to load these views at any time. Additionally there is the option to reset either of these back to the default views for Ex Online. The Project view is unique to each project, while the User Default view is unique to each account
G: Inspection – The Inspection menu is where you upload and download Inspection Work Packs (IWP). For more information on how to upload or download an inspection work pack follow the tutorial \<Creating an Inspection Work Pack>
Column Visibility – The Column Visibility menu can be used to show/hide all columns aside from: Tag No, D and A. Columns can be shown/hidden individually or within groups.
H: Page Navigation – This section contains the page navigation tools. The user can use the arrows terminated by a vertical line on the outer left and right to travel to the first and last pages respectively. The inner arrows on the left and right can be used to navigate to the previous and next pages respectively. The current page number will be highlighted in a square, nearby pages in multiples of 5 will be listed and can be travelled to directly by clicking on them. The number of items shown per page can be changed with the drop down box to the right of the navigation tools. Possible values include: 50, 100, 300, 500, 1000, 2000 and 5000 items per page
I: Refresh – This button will refresh the project and update any changes that have been made by other users; any changes you have made that have not been saved will be discarded when refreshing. There is no warning or confirmation prompt when clicking refresh, so ensure that you have saved changes using the Save button. (The Save button will also refresh the project)
- At the top left of the window, below the Ex Online logo will be the project name. To the right of this is a grey circle with three dots. Click this symbol to open the Project window

Details – The Details tab is identical to the Info tab that can be accessed from the dashboard and it is where project details such as Job Number, Description, and User Defined Fields can be entered.
User Defined Fields are additional fields for each line item that you can rename for whatever purpose you require. All fields are optional, after the desired information has been entered click Save Changes

- Click on the Import/Export tab of the Project window

Download a copy of the example Import Package if you haven’t already.

Click the Browse button and navigate to the location on your computer where you have downloaded the example Import Package to

Select the .zip file and press open

- The file name will now be listed in the File textbox. Click the Import button to begin importing items

The status bar will now begin filling to show the progress of the upload, once the upload is complete the status bar will change and show that it is importing the file. Details of the import will now be displayed in the status textbox. Finally, the status bar will change once more when the import is completed, to say Upload Completed. At this stage an import summary will pop up, giving a report of tags/files that were imported, were ignored or failed to import.
